Christmas Party FAQs

Planning a Christmas party in London and not sure where to begin? It's understandable that you'll have a few questions. These FAQs should cover everything you should need to make your office party planning stress-free, but if in doubt, contact the team for more information.

Venue information – capacities, what’s included and more…

What are you room capacities?

These will vary depending on what your party plans are and if you want to include additional furniture or entertainment that requires additional space.

Seated plated lunches

Our packages include 1 room for lunches and includes a welcome drink. If you want to serve the welcome drink standing, then the following capacities would apply

Music Room: 30 on round tables

Council Room: 40 on round tables

Mall Room: 40 on round tables

Wolfson Room: 60 on round tables

Seated plated buffet or dinner

Our packages include 2 rooms for buffets or dinners.

Music Room (reception) and Council Room (dinner): 70 on round tables / 60 on long tables

Radhakrishnan Room (reception) and Wolfson Room (dinner) : 100 on round tables / 70 on long tables

Standing receptions

Music Room and Council Room: 150 guests standing

Radhakrishnan Room and Wolfson Room: 200 guests standing 

I’m booking a package – What’s included?

Each of our packages includes different catering options, from buffets and seated meals to relaxed receptions. Please see the 2023 Christmas Party brochure for more details.

All packages include:

Private room hire

Tasty food and drink from our catering partners Searcys

A festive welcome with a 12ft Christmas Tree in the main reception

A small PA system for music playback only

Access to a Spotify premium account if you have a curated party playlist

Simple festive table décor

Seated buffets/lunches/dinners will have candle(s) and festive foliage centrepieces

Receptions will have tealights and simple festive tabletop décor

A Christmas tree in at least one of your booked rooms

Staffing to include: Catering manager, venue coordinator bar/waiting staff, cleaning, security

Evening packages include:

Complimentary bar nibbles

Complimentary hydration station with all bars

I want to host my party at the weekend, can I use one of the packages?

Our packages are based on Monday-Friday hire. If you want to explore weekend Christmas parties, please speak to one of the team.

Is anyone available to assist in the organisation of Christmas parties? 

While a vast majority of the party will have been organised by our highly skilled venue coordinators team in advance of the night itself we do ask there is a main point of contact from your organisation responsible for the booking, confirming numbers and event logistics etc. ahead of the party. A member of the venue team as well as our security and catering team will be onsite and more than happy to assist you and your guests with any questions you might have on the night.

What theming do you provide?

We do not currently theme our Christmas parties. We have a 12ft Christmas tree in the main reception, as well as festive décor on the main entrance door and around the grand marble staircase. Table décor and candles are provided in each of the rooms.

Will my party be private?

We are able to host more than one party at any one time. Your rooms will be completely exclusive to you and your guests.

The shared access will be in the main reception for the toilet facilities and if your package includes a shared manned cloakroom.

What time must my Christmas party finish by?

Christmas lunches are from 1:30pm – 5pm. Guests must promptly depart before or at 5pm as the venue will need the room book to set up for evening bookings.

Evening Christmas parties are either until 11pm or midnight depending on the package. Venue hire extensions are £500 VAT exempt per hour (latest application would be until 2am) but are subject to a successful temporary event notice application with Westminster Council. The venue will make the application on your behalf.

There will be additional fees to extend the DJ.

In order to ensure bookings are finishing promptly, the following timings are mandatory.

Bar closing – 30 minutes prior to guest departure

Music ending – 15 minutes prior to guest departure

The catering team will be clearing empty glasses throughout the night and will begin clearing all drinks from tables 15 minutes prior to guest departure.

When is last admittance?

No new guests will be admitted after 11.00pm. There is also no readmittance.

Where is the cloakroom and is it included?

All Christmas parties come with cloakroom facilities.

Daytime packages have unmanned coat rails placed within the booked room.

Event packages have access to a shared manned cloakroom located just inside the main entrance and remains manned throughout the party.

What is the dress code?

Our guests love getting dressed up and it really adds to that extra special feeling to the occasion, so if you want to get those glad rags out and smarten up, we’d love to see it! Jeans, trainers, sportswear are permitted and fancy dress will also be permitted unless offensive.

Is there an area for smokers?

The venue itself is smoke free. There is an area just outside the main entrance available for smokers. No drinks are permitted outside or in the smoking area. A secure place to leave drinks is provided inside the venue.

There is a maximum of 12 guests allowed in the smoking area at one time.

Are under 18s allowed to come?

Guests aged 16 and 17 are welcome provided they are accompanied by an adult, who is responsible for them. We operate a strict policy regarding underage drinking, which is not permitted under any circumstance and we operate a Challenge 21 policy so all attendees are advised to carry picture ID.

Catering

What drinks can i have, do you have any packages?

We have one-hour drinks packages that include house wine, beer and soft drinks. If you want to include spirits, please speak to the team to get a price.

Please note we do not allow more than two hour’s drink reception without serving substantial food (bar nibbles are not counted as substantial food).

Shots and bottle service are not available.

Our bar staff will refuse service to anyone deemed to be too drunk and our security teams will ask individuals to leave if they are intoxicated.

For my festive lunch/dinner can everyone choose their own dish?

The packages are based on everyone having the same dish for all courses. To accommodate dietary requirements you can also chose either a vegetarian or vegan choice for each course.

We will then alter dishes for other allergens.

If you want a choice menu, we can offer a 2nd choice for a supplement. Please ask your venue coordinator for the price.

Please note that choices MUST be pre-selected and you will need to note these on your table plan and place cards to assist with dinner service.

Do you offer vegetarian, vegan and halal options on your seasonal menu?

We can cater for all dietary requirements as long as we are made aware of these in advance.

What information will I need to provide ahead of the party?

10 days before the event, we will need: 

Name of Party – we will use this for directional signage and our digital noticeboard

Final Numbers - be advised that any reduction on the final numbers within 7 days of the event will be chargeable.

What’s the size of the dining tables?

Our dining tables are 6ft round that can seat comfortably up to 10 guests per table. You can add to up 12 if you need to on tables to accommodate your guests.

Who is providing the dj for your packages?

Nathan Hassall Music is our 2023 Christmas Party DJ provider.

Can you provide any additional entertainment?

Nathan Hassall Music has suggested a few additional entertainment ideas best suited to our venue and indicative pricing:

You could include the following background music options for receptions:

Solo Saxophonist (with Backing Tracks): - £400 + VAT

Jazz Duo (Sax, Guitar): - £600 + VAT

String Duo (Violin, Cello):- £600 + VAT

Prices would be a flat fee and valid for engagements of up to 3 hours (containing 3 x 45 min sets).

The following options would work alongside the DJ:

Solo Saxophonist: - £400 + VAT

Percussionist/Bongo Player: - £450 + VAT

Solo Electric Violinist: - £575 + VAT

Please note the saxophonist and percussionist can perform for up to 3 x 40 min sets within a 3 hour engagement for this fee.

The electric violinist would usually perform for 2 x 45 or 3 x 30 min sets within a 2-2.5 hour engagement for this fee.

All acts are subject to availability.

Do you have a preferred supplier for flowers, photobooths, photography or additional entertainment?

Our DJ packages include a DJ from entertainment supplier Nathan Hassall Music.

If you want to organise your own DJ, we have hand selected a list of approved and recommended suppliers that offer a diverse range of budgets and styles for your festive needs. To preserve our Grade 1 listed building, we ask that you choose from the approved list of production companies and florists to work with on your event. All the suppliers are well regarded for their customer service and quality and are a valued partner of {10-11} Carlton House Terrace.

Do you need a dancefloor and can you provide one?

Carpeted rooms require a dancefloor. Currently that is the Wolfson Room or the Radhakrishnan Room.

Our packages do not include a dancefloor. Our entertainment suppliers Nathan Hassall Music can provide one at an additional cost. You can find indicative pricing below:
